Description
Position Summary:
The New York County District Attorney's Office (DANY) has an immediate opening for a Contracts Administrator in its Procurement and Contract Management Unit. In this position the Contracts Administrator is responsible for providing technical contract resource support to the Unit and Office.
 

Responsibilities include but are not limited to:

  • Formulating, developing and preparing all documentation applicable to solicitations, contracts and contract management actions for all major projects.
  • Managing the procurement process including drafting requests for proposals, bid specifications and solicitations, preparing and processing of procurement documents.
  • Reviewing all purchase order requisitions for compliance with procurement policy board rules, procedures and directives and other applicable government regulations.
  • Conferring with and advising project managers to ensure contract compliance and conformance to applicable law.
  • Preparing, negotiating, and issuing Non-Disclosure, Teaming, and subcontracting agreements.
  • Attending and serving as contract representative at program and project meetings, as required.
  • Responsible for processing invoices, obtaining proper approvals, encumbering funding, reviewing budget expenses.
  • Responsible for running background checks on vendors and determine vendor integrity.
  • Perform other related duties and tasks as assigned.

Qualifications:

  • Knowledge of government rules and regulations impacting procurements New York City procurements.
  • Experience working with government competitive bids and Requests for Proposals.
  • Must be able to perform under pressure in a fast-paced environment.
  • Ability to multi-task and meet deadlines.
  • Experience negotiating contracts with suppliers and/or subcontractors preferred.
  • Handling architectural, engineering and/or construction contracts is highly desirable.
  • Excellent written and verbal interpersonal, organizational, and communication skills required.
  • Must be extremely detail-oriented, self-motivated, highly-organized, resourceful, and reliable.
  • Experience with culling and analyzing large amounts of data from numerous sources.
  • Proficient in Microsoft Word, Excel and Access.
  • Ability to update and edit existing databases.

Educational Requirements:

  • Bachelor’s degree required.

Preferred Requirements:

  • Two (2) years of previous procurement experience.
  • Experience with the New York City’s Financial Management System (FMS) is preferred.

Commitment:

  • A one (1) year commitment to the hiring bureau.
