Position Summary:
 
The New York County District Attorney’s Office has an opening for a Timekeeping Assistant in the Human Resources Department.  In this position also acting as a liaison to the payroll unit, the Timekeeping Assistant is responsible for ensuring that employees’ time and leave information is accurately computed, reflected and adjusted if necessary.
 
Responsibilities include but are not limited to:
  • Compute earnings of workers by referring to their annual salary or timesheet to discover hours worked.
  • Verify attendance, hours worked, and pay adjustments, and post information onto designated records.
  • Supports distribution of checks to employees (if needed).
  • Handle complaints or questions regarding time and leave discrepancies.
  • Factor in vacation or sick pay when computing earnings.
  • Check exempt and non-exempt statuses of employees.
  • Close out paycheck cycle after termination.
  • Check electronic data for errors.
  • Compile employee time, production, and payroll data from time sheets and other records.
  • Ensure records have proper signatures upon submission.
  • Process paperwork for new employees enter employee information into the payroll system
Qualifications:
  • Must be able to compute time and leave deductions, and enter data into computerized New York Citytime system.
  • Careful attention to detail and ability to correctly analyze and correct data entry errors.
  • Effective communication skills and the ability to work effectively with all employees and staff.
  • Familiar with New York City computerized timekeeping systems (CityTime, PMS, NYCAPS, CHRMS)
    Ability to prepare statistical reports and report findings to appropriate managers and supervisors.
  • Complete, verify and process forms and documentation for administration of benefits such as pension plans, and unemployment and medical insurance.
Educational Requirements:
  • High school diploma or equivalent required
  Preferred Experience
  • Some college preferred
  • Timekeeping experience with large volumes of employees and be familiar with straight time, overtime and double time policies and timekeeping standards.
  • Experience in electronic timekeeping program(s)
  • Intermediate to advanced user in EXCEL. Proficient on Microsoft Office programs.
