Position Summary:

The New York County District Attorney's Office has an opening for a Junior Buyer in its Purchasing Unit. In this position, the Junior Buyer is responsible for providing routine administrative support to the Purchasing Unit and Office to ensure that the Office’s needs for goods and services are met.

Responsibilities include but are not limited to:
  • Review purchase order requisitions for compliance with procurement policy board rules, procedures and directives.
  • Create purchase orders for the acquisition of goods and services.
  • Research potential suppliers to obtain prices and specifications.
  • Continually conduct market research to obtain lower costs of products, requesting lower price or finding new sources of products.
  • Enter, process and maintain purchase orders into a proprietary City-based database system.
  • Receive and process incoming orders according to Unit’s needs and specifications.
  • Assist in preparing contracts.
  • Follow-up to ensure deliveries arrive on time and resolve supplier performance issues.
  • Develop product knowledge to assist unit and Office with purchasing needs.
  • Match and code invoices with purchase orders and enter invoice information into in-house system
  • Obtain appropriate in-house and external approvals.
  • Maintains files of purchase orders and accompanying documentation.
  • Performs other related duties as assigned.
  • Provide routine administrative support.
  Qualifications:
  • Excellent written and verbal interpersonal, organizational, and communication skills required.
  • Must be extremely detail-oriented, self-motivated, highly-organized, resourceful, and reliable.
  • Must be able to perform under pressure in a fast-paced environment; able to multi-task and meet deadlines.
  • Proficient in Microsoft Word, Excel and Access. Ability to update and edit existing databases.
  • Ability to follow directions and apply proper policies, procedures and guidelines.
  • Ability to self-manage, show initiative and be comfortable interacting with all levels of staff and vendors.
  • Effective time management and organizational skills.  
  • Must be a team player, analytical, good with attention to detail, and possess excellent organizational skills
Educational Requirements:
  • Bachelor’s degree
Preferred Requirements:
  • 1 year of previous buying or procurement experience preferred.
  • Experience with the New York City’s Financial Management System (FMS) is preferred.
  • Knowledge of New York City's Procurement Policy Board Rules, local laws and policies impacting procurements.
  • Experience working with government competitive bids and Requests for Proposals and quotes.
Commitment:
  • A one (1) year commitment to the hiring bureau.
