Description
Position summary:
The New York County District Attorney's Office has an opening for a Unit Coordinator in its Case Management Services Unit. In this position the Unit Coordinator is responsible for providing administrative support to the unit and office.
 
Responsibilities include but are not limited to:
  • Oversee all aspects of day-to-day management of administrative functions for Case Management Central division.
  • Maintain database of all active defense attorney’s practicing in the New York City area.
  • Maintain database containing Department of Motor Vehicle abstracts requested by DA personnel.
  • Review daily all the return on warrants and assign these cases to an Assistant District Attorney. Maintain a database of these cases and their appropriate assignment.
  • Convert handwritten documents to electronic documents to be shared with other criminal justice agencies.
  • Perform backup services including defendant court appearance notifications, police officer notifications utilizing the New York City Police Department’s Court Appearance Control System, defendant community service interviews and assignments, draft Declinations of Prosecutions and perform paralegal functions in criminal court parts.
  • Maintain weekly scheduling of Assistant District Attorneys’ rotational intake assignments.
  • Perform administrative duties for the division inclusive of payroll distribution, supply requisition, telephone communication, and mail distribution.
  • Responsible for scheduling of meetings and interviews for Director and Deputy Director of division.
  • Retrieve defendants’ criminal histories utilizing authorized access to the New York State e-Justice program.
  • Maintain database of defendants whose cases are not ready for their Desk Appearance Ticket return date.
  • Perform other duties as directed by the Director or Deputy Director of CMS as needed.
  • Performs high-level administrative functions and related duties.

Qualifications:
  • Excellent interpersonal, organizational, and communication skills required.
  • Proficient in Microsoft Word, Excel and Access.
  • Ability to learn, update and edit proprietary databases.
  • Ability to work with frequent interruptions and adapt to changes in workflow in a fast-paced environment, prioritize among competing needs and respond quickly to requests for information.
  • Ability to work independently and manage multiple short-term projects.
  • Ability to follow directions and apply proper policies, procedures and guidelines.
  • Strong attention to detail and high concern for data accuracy.
  • Dependable team player who works collaboratively and cooperatively with staff in a team-oriented environment.
  • Must be able to perform under pressure in a fast-paced environment; detail oriented and self-motivated and able to multi-task.
  • Ability to interact with all levels of staff, witnesses, defense attorneys, law enforcement personnel, community residents, community organizations and partners, and law enforcement agencies.
  • Ability to prioritize among competing needs and respond quickly to requests for information.
  • An understanding of general practices related to legal records management, data protection, and privacy/confidentiality.

Educational Requirements:
  • Bachelor’s degree required.


Commitment:

  • One (1) year commitment to hiring bureau.
